Posters Nearly all of our sessions will include both oral and poster presentation and we will be working hard to insure that these two formats are fully integrated by providing poster presenters with the opportunity to advertise their poster during the oral session. In addition to the standard poster format, we will be able to accommodate interactive and demonstration formats. All posters will be up for 2 days and will have both lunchtime and late afternoon viewing opportunities. A light lunch will be served during the lunchtime viewing. Poster Presentation Information and Guidelines The following information and guidelines will assist you with your poster presentation preparations. Contact Charlie Strobel at strobel.charles@.epa.gov, for assistance. Poster Hall - General The Poster and Exhibit hall is located in the Rhode Island Convention Center on the third level; Exhibit Hall sections C&D. Posters will be organized by the theme of their corresponding oral session. Each poster will be assigned a number and location that will correspond to a map located in the conference program. Please see the poster hall map (PDF). Note: In the affiliated oral sessions, the convener will draw attention to the posters associated with that particular session. Important Times – Coffee Breaks, Lunches and Happy Hours Each poster will be displayed for 2 days. Coffee breaks, lunches and happy hours will be provided inside the poster/exhibit hall. Please plan to mount your poster on your assigned board before between 07:30 am and 09:00 am on your first assigned day (either Monday or Wednesday). Presenters are expected to be at their poster from 12:30 noon to 1:45 pm on your assigned day (sent to you via email). The morning and evening coffee breaks, the second lunchtime and the happy hours are also good times to be available. Please remove your poster and any associated materials either between 6:30 pm and 7:00 pm on Tuesday or between 4:00 pm and 5:00 pm on Thursday. If not removed by you, your poster will be removed by conference workers and possibly discarded. Poster Information Booth Poster information tables will be located near the main poster hall entrance. Please stop by to confirm your poster position, pick up pushpins and a poster hall guide, and ask questions. Lunch A light lunch for the poster presenters will be available starting at 12:00 noon on a table located near the poster information booth just inside the entrance to the exhibit hall. Food and drink for other conference attendees will be set up elsewhere in the exhibit hall. Mounting Each poster will be displayed on 8-foot wide by 4-foot high board that includes a 2-inch border. Push pins for mounting your poster will be available. Dimensions Each poster should be less than 92 inches (233 cm) wide and 46 inches (116 cm) high; but large enough to read from several feet away. Format and Content Recommendations Keep you poster simple; provide a clear "take-home" message. You can provide further details in discussions with attendees and by providing supplemental information by your poster (e.g., reduced copies of the poster, business cards, printed abstracts, etc.). Three good sites that help with ideas for preparing posters are:
Special Requests for Your Display Space All poster presenters are given a poster board and push pins. However, ERF recognizes that new technologies and media have expanded and enhanced the types of presentations that may be given during the poster sessions. If you require anything else to present your poster, please fill out the Poster Special Request Form web form before September 1, 2007. Requests after this date cannot be guaranteed. Plan to order and pay for the following special request items:
Student Presentation Awards To encourage quality work and to reward those that show creativity and good science through poster displays, the top graduate and undergraduate poster (and oral) presentations will receive recognition and cash awards. If you did not request to be judged on the abstract submittal form, you may still request by contacting Dave Yozzo, Dave Osgood or John Brawley. Please go to the Student Judging page for further information. Additional Considerations/Recommendations
