Instructions to Oral Presenters
Presentation Upload Site
(Must be submitted before 5PM day before presentation) Dear ERF 2007 Presenters Your presentations are essential to a successful ERF Conference, so please read these instructions carefully. Each presenter will be given 12 minutes to present his or her work, followed by 3 minutes for questions. Presentations may be submitted in PowerPoint (.ppt) or PDF (.pdf) format. Please use the following format to name your presentation:
Day of Week_Session#_Time_First initial and last name.ppt
(or ....pdf) For example, a PowerPoint file submitted by Jane Smith for a talk to be given on Monday during the SCI-011 session at 8:00am would be named Monday_011_0800_jsmith.ppt. This naming convention will simplify the sorting of presentations to the appropriate session rooms during the conference. All presentations will be loaded onto conference equipment by conference staff. No personal laptops will be used for presentations. We recommend that you bring a backup copy of your presentation with you to ERF 2007, even if you uploaded it online prior to the conference. Bring your talk on a USB memory stick or a CD (memory stick is highly preferred). PowerPoint files will be displayed using Microsoft Office 2003, so make sure your files are compatible with this software version. If you use a Mac or any program other than Microsoft Office 2003 to create your presentation (including MS Office 2007), please test your presentation on a PC running Microsoft Office 2003 prior to the conference to ensure that your fonts and animations display correctly. It is also highly recommended that you use standard fonts (Arial, Times New Roman, etc), and keep your total file size as small as possible by reducing the resolution of images. We strongly encourage you to submit your presentation online before you come to Rhode Island by uploading your file using the presentation upload site. This will allow you to avoid standing in line to submit your presentation when you get to the conference. You will need your Abstract Number to submit your talk online. You will be able to upload talks to the site until 5:00pm the evening before your assigned session. After 5:00pm, you will need to visit Computer Central to submit your presentation (see Computer Central/Speaker Ready Room Hours below). Please submit your presentation online or by visiting Computer Central before the evening prior to your assigned session. Please visit Computer Central the day before your session to check that your presentation is functional, especially if your presentation is large and/or complex. The Speaker Ready Room will be available during the conference if you would like to preview your presentation before you submit it to Computer Central. This room will be equipped with computers and an LCD projector. Please do not plan to make changes to your presentation in the Speaker Ready Room as space is limited.
